1. What this policy covers
This Cookie Policy explains the cookies and similar technologies that VLearned sets when you use the platform, what each one is for, and how you can control them. It sits alongside the Privacy Policy, which explains the personal data the platform processes more generally.
Cookies are small text files that a website asks your browser to store and send back on later requests. Similar technologies — for example local storage, session storage and the cache used by the installable web app — work in the same general way, and are covered at the end of this policy.
2. The cookies VLearned sets
| Cookie | What it does | Type | Typical lifetime |
|---|---|---|---|
vlearned-session | Keeps you signed in and holds short-lived state such as your language choice and the page you were last on. The session record is stored server-side and the cookie holds an encrypted reference to it. | Essential | Short — the session expires after a period of inactivity and is extended while you keep using the site. |
XSRF-TOKEN | Helps protect forms against cross-site request forgery. The value is read by the browser and sent back with form submissions so the server can verify the request came from this site. | Essential | Short — renewed with the session. |
vlearned_locale | Remembers the language you chose so the site keeps showing it in that language on your next visit. | Functional | 12 months. |
vlearned_ref_{organisation} | Remembers the referral code used when you arrived through an organisation's referral link, so that the organisation can attribute your registration. | Functional | 30 days. |
remember_web_* | If you choose "Remember me" when you sign in, this keeps you signed in on that browser so you do not have to sign in again on every visit. | Essential | Long — it is removed when you sign out, clear your browser cookies, or the account is deactivated. |
These cookies are set by AI Smartual Learning Sdn Bhd itself. VLearned does not use advertising cookies, cross-site tracking cookies, or third-party behavioural analytics, and it does not sell or share data about your browsing with advertising networks.
3. Cookies set when you use a third-party feature
Some features rely on an external service, and that service may set its own cookies or use its own storage when you interact with it. This happens when, for example:
- you join a live session or webinar, which is delivered by the meeting service used for live classes;
- you sign in with a Google account, which redirects you to Google and back;
- you pay for a purchase, which is completed on the payment provider's own hosted page so that your card details never pass through VLearned;
- you receive a WhatsApp message, which is delivered through the WhatsApp Business service;
- you use an AI feature, where the request is sent to the configured model provider; or
- you sign in to your organisation's own website environment on a custom domain, where the organisation may set additional cookies of its own.
Those services are operated by third parties and are subject to their own cookie policies and terms, which we do not control. Where a feature is optional, an organisation's administrator can usually switch it off; ask them if you are unsure which features are enabled for you.
4. Consent and non-essential technologies
Only the strictly necessary cookies are set when you first arrive, so that the platform can function and the site can be used securely. We do not set non-essential or tracking cookies before you have given consent, and we do not use consent to unlock functionality that the service needs in order to operate.
Where an organisation enables an optional third-party integration for its own environment, that organisation is responsible for the notices and any consent it requires in that environment, and for telling its users what has been enabled.
5. How to manage cookies
- Browser settings: every major browser lets you view, delete and block cookies, and can be set to ask before a site stores one. Blocking essential cookies will stop you from signing in, because the platform cannot keep your session without them.
- Clearing cookies: clearing your cookies signs you out of the platform and resets your saved language preference. It does not delete any course progress, grades, certificates or account record — those are held on the server.
- Within the platform: if you have signed in, your notification preferences are available in your account settings, and your language preference can be changed with the language control in the site header.
Because some cookies are set by the server when you interact with a form, blocking cookies entirely can also prevent some features from working. If you need the platform to behave in a particular way because of an accessibility, monitoring or security requirement, contact us and we will explain which controls are available.
6. Questions

If you are an organisation administrator and your request concerns an individual learner's record, contact your own administrator first, because the organisation usually controls that learner's workspace and training records.
